Practical advice
Know when a free AI plan is enough
A practical decision rule for testing AI before paying for a plan your team may not use.
The practical answer
Start with this principle
Start with the smallest plan that lets you test the work safely. Pay when a specific limit blocks a useful, repeated workflow, not because a feature list sounds impressive.
Do this in order
Three steps you can use today
Define the trial job
Choose two or three low-risk tasks and use the free plan consistently for a fortnight. Note quality, limits and time saved rather than relying on first impressions.
Identify the real blocker
Write down what the free plan prevents, such as team controls, usage capacity or required integrations. Check that the paid tier actually removes that blocker.
Set a review date
If you upgrade, review usage after one month. Cancel or reduce seats if the workflow has not become part of normal work.
Copy and adapt
Free tier decision check
Answer these before paying for anything.
1. How many times a week will this actually be used? .....
2. Did the free tier fail on the real task, or only feel slower? Failed / Slower
3. Is the limit we hit usage, capability, or data handling? Usage / Capability / Data
4. If usage: what would the paid plan save in hours per week? .....
5. If data: does the free tier's data handling meet our policy? Y / N
Upgrade only if 2 says "Failed", or 5 says "N", or the hours in 4 are worth
more than the monthly cost.
