AI output becomes more consistent when everybody starts from the same current facts. Keep a short approved source for services, policies, tone and contact details, with a named owner.
Do this in order
Three steps you can use today
Start with repeated facts
Collect only the information that appears regularly in enquiries, proposals and support replies. Leave out sensitive customer or staff records.
Mark status and ownership
Give every section an owner and review date. Remove conflicts so the AI is not asked to choose between two versions of the truth.
Control how it is used
Tell the AI to use only the supplied facts and flag gaps. A human still checks prices, dates, commitments and other material details.
